How does your waitlist process work?

How does your waitlist process work?

Avid4 Adventure is committed to providing safe and welcoming camp experiences for as many kids as possible. Wherever possible we will expand the capacity of a camp session when it reaches capacity. However, our small group sizes and limits on permits from local permitting agencies mean that we have waitlists for some sessions.

Waitlist Guidelines

When a camp session has reached capacity you can add your camper to the waitlist. To help serve as many kids as possible, the guidelines below are used when filling open spots:
  1. The order that campers registered for the waitlist for a particular camp session
  2. Whether or not a camper is registered for any other Avid4 Adventure camps in the current season.
  3. Meet specific program needs in cases where there are age or gender requirements.

Registering from the Waitlist

Open spots are filled using one of two methods:
1. When a spot opens up in a waitlisted camp session and your camper is selected, you will receive an email invitation with two options:
  1. "Complete registration" - click this option if you want to take the spot. This will take you through the registration process and payment. Your spot is then confirmed!
  2. "Remove me from waitlist" - this option automatically removes your waitlist registration and moves on to the next camper on the waitlist.
    1. You will have a 72-hour window to confirm or deny the spot (24-hour window starting in June).
    2. If the registration is not completed within 72-hours after notification (or 24-hour window starting in June), the registration is automatically canceled and we will offer the spot to the next camper on the waitlist.
2. When a last-minute spot opens up in a camp session:
  1. We will notify all families with a camper on the waitlist via email.
  2. The spot is filled with the family that we hear back from first.

A few notes on waitlist registration:
  1. Once the camp season starts (JUNE) the waitlist acceptance period reduces to 24 hours in an effort to fill the spot as soon as possible.
  2. "Last-minute" is defined as the weekend before a camp session begins.
  3. Waitlist spots are not guaranteed.
  4. Waitlist spots are not confirmed until payment is made.
  5. All registrations must be paid in full before the program starts.
